How to time block your day

1. Capture the next actions. Add tasks you can finish in one sitting. “Draft three slides” is easier to schedule than “finish the presentation.” Set a realistic duration and mark the work that matters most as high priority.

2. Reserve your commitments. Add meetings, lunch, travel and breaks as blocks first. They occupy time just like work. The calendar covers all 24 hours. Choose Auto-plan hours to control where automatic scheduling looks for openings.

3. Give tasks a place. Drag a task onto the calendar, or choose Schedule to find an opening. Use Plan… to choose an exact time. Drag a block’s bottom edge to change its duration.

4. Leave room to adjust. Auto-plan places unscheduled tasks around existing blocks. It will not pretend everything fits. Reschedule work deliberately, and export a snapshot when you are ready.

A realistic daily schedule example

Try 90 minutes of focused work at 9:00, a 30-minute meeting at 10:30, and a 30-minute email block at 11:15. Keep the 15-minute gap for a break and reserve an hour for lunch at 12:00.

That is a four-hour morning with 120 minutes of focused work and email, 30 minutes in a meeting, an hour for lunch, and 30 minutes left open. If you add another 90-minute task, it belongs later in the day.

For a study day, replace focused work with a specific outcome such as “solve five practice problems.” For a freelance day, reserve client calls before scheduling project work. The calendar stays the same; the choices are yours.

Is this time blocking planner really free?+

Yes. Create and edit tasks, drag and resize calendar blocks, set priorities, use auto-plan, undo changes, and export without signing up or entering a card. The browser workspace holds up to 500 tasks. Each task stays for seven days from creation.

What is time blocking?+

Time blocking means deciding when to work on a task by reserving a period on your calendar. Instead of keeping ‘write proposal’ only on a list, you might reserve 9:00–10:30 for it. Leave space for meetings, breaks and interruptions before filling the day.

How is timeboxing different?+

A time block reserves room for an activity; a timebox also gives it a stopping rule. ‘Work on the proposal at 9:00’ is a block. ‘Draft the opening for 45 minutes, then review what is left’ adds a timebox. You can use this planner for either approach.

Will my plan still be here tomorrow?+

In the same browser, yes, if storage is available and you have not cleared it. Tasks expire seven days after creation; editing does not extend that time. Private browsing and browser storage limits can remove content sooner. Export important plans. Free account storage works across devices with no task expiry.

Can I use Google Calendar, Outlook or Apple Calendar?+

Free .ics export creates a calendar snapshot you can import into those calendars. Export is not synchronization: changes after import do not update the other calendar, and importing again may create duplicates. Connected Google Calendar is a paid feature that will be listed when public access is ready.

Can I time block without dragging?+

Yes. Use Add time block to enter a title, date, start time and duration. Existing tasks have Plan… controls for precise scheduling and an option to find an open time. Task reordering also has up and down buttons.

What happens when everything does not fit?+

Auto-plan preserves existing blocks and places unscheduled tasks in available gaps, by priority and list order. Tasks that need a longer opening stay on your list. Move them to another day, reduce their scope, or change the estimate. Manual overlaps are allowed and visibly flagged.

What does upgrading add?+

A free account saves your tasks across devices with no expiry, plus one Kanban board, ten notes and five AI requests per month when AI is available. Paid plans add more boards, unlimited notes, recurring tasks and higher AI allowances. You can choose to import your browser tasks into a free account.
